Scope of this Policy
This Privacy Policy explains how AlphaCore Bookkeeping (“AlphaCore Bookkeeping,” “we,” “us,” or “our”) collects, uses, discloses, and protects personal information when you visit our website, submit a contact or consultation form, or schedule an introductory call (collectively, the “Website”).
This Policy applies to prospective clients and Website visitors. A separate engagement agreement or notice may apply if you become a client and provide financial records or other information for bookkeeping services. Third-party websites and services are governed by their own privacy policies.
Information we collect
Information you provide. When you contact us or book a consultation, we collect the information entered into the form, which may include your name, telephone number, email address, company name, preferred appointment date and time, and any message or business information you choose to provide.
Communications and appointment information. We may retain correspondence, call scheduling details, rescheduling or cancellation history, and notes needed to respond to your inquiry.
SMS consent and messaging records. If you opt in to consultation-related text messages, we may collect your mobile number, the date, time, and source of consent, message history, delivery status, and records of HELP or STOP requests.
Information collected automatically. Our Website and service providers may automatically receive limited technical data such as your Internet Protocol (IP) address, browser type, device type, operating system, referring page, pages viewed, and access times. Cookies or similar technologies may support essential site functions, security, preferences, and aggregate analytics.
Please do not place Social Security numbers, taxpayer identification numbers, financial account credentials, tax documents, payroll records, identity documents, or other sensitive financial information in a general contact or scheduling form.
How we use information
We use personal information to receive and respond to inquiries; schedule, confirm, reschedule, and conduct consultations; send consultation confirmation and reminder text messages when you opt in; evaluate whether our services may fit your needs; communicate about your request; operate, secure, troubleshoot, and improve the Website; maintain business records; prevent fraud or misuse; comply with law; and establish, exercise, or defend legal claims.
Where privacy law requires a legal basis, we process information as needed to take steps at your request before entering a contract, pursue our legitimate interests in operating and protecting our business, comply with legal obligations, and obtain consent where required. You may withdraw consent at any time, but withdrawal does not affect prior lawful processing.
SMS messaging and consent
How you opt in and what we send. When submitting a consultation or scheduling form on our Website, you may choose to receive SMS messages from AlphaCore Bookkeeping by actively selecting the applicable SMS consent checkbox. SMS consent is optional and is not required to submit a form or purchase services.
If you opt in to non-marketing messages, AlphaCore Bookkeeping may send text messages related to your consultation, appointments, reminders, service communications, and follow-ups.
If you separately opt in to marketing and promotional messages, AlphaCore Bookkeeping may send promotional messages, special offers, discounts, service updates, and other marketing communications. Consent to marketing messages is optional and is provided separately from consent to non-marketing messages.
No sharing of SMS opt-in data. No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. Information may be shared with service providers that support our communications, such as SMS delivery providers, solely as necessary to provide those services. SMS opt-in data and consent will not be shared with third parties for their own marketing or promotional purposes. We do not sell mobile information or SMS consent.
Your choices. Message frequency varies. Message and data rates may apply. Reply STOP to any message to opt out. Reply HELP for help, or call (860) 560-1965. After a STOP request, we may send one confirmation message. We retain consent and opt-out records as reasonably necessary to honor your choices and document compliance.
How we disclose information
We may disclose personal information to vendors that help us run the Website and communicate with you, such as website hosting, form processing, calendar and scheduling, email, telephone, SMS delivery, video meeting, security, backup, and analytics providers. These providers may process information only to perform services for us and are not authorized by us to use it for their own marketing.
We may also disclose information to professional advisers; to law enforcement, regulators, courts, or other parties when required or permitted by law; to protect rights, safety, and security; or in connection with a merger, financing, acquisition, reorganization, or sale of all or part of the business.
We do not sell personal information for money. We do not use or disclose the name, telephone number, email address, or company name submitted through our consultation form to enable third parties to send their own unrelated marketing. The additional no-sharing restrictions for mobile information and SMS consent are stated in the “SMS messaging and consent” section above.
Scheduling and third-party tools
Our booking calendar may be provided by a third-party scheduling platform. When you use an embedded calendar or follow a scheduling link, the provider may collect your booking details and technical information directly. It may also place cookies or send appointment notifications under its own privacy policy.
Other Website links, integrations, or meeting platforms may also be operated by third parties. We encourage you to review their privacy notices. AlphaCore Bookkeeping is not responsible for third-party privacy or security practices.
Cookies and analytics
Cookies are small files that websites store on a device. We may use cookies and similar technologies that are necessary to operate forms, scheduling, navigation, security, and preferences. We may also use analytics to understand Website traffic and performance in aggregate.
You can control cookies through your browser settings and, when available, a cookie preference tool. Blocking some cookies may affect Website features. Because standards for browser-based “Do Not Track” signals are not uniform, the Website may not respond to those signals. Where legally required, we honor applicable opt-out preference signals or obtain consent before using non-essential cookies.
Data retention
We keep personal information only as long as reasonably necessary for the purposes described in this Policy, including responding to inquiries, maintaining business and security records, meeting legal obligations, and resolving disputes.
As a general practice, consultation and inquiry records may be retained for up to twenty-four months after the last communication unless a longer period is needed for legal, fraud-prevention, or recordkeeping purposes. If you become a client, information associated with the engagement may be retained for the period stated in the applicable engagement documents or required by law. We may retain de-identified or aggregated information that no longer identifies you.
Data security
We use reasonable administrative, technical, and physical safeguards designed to protect personal information against unauthorized access, loss, misuse, or alteration. No internet transmission or storage system is completely secure, so we cannot guarantee absolute security.
If you believe information you provided through the Website has been compromised, contact us promptly through the Website without including additional sensitive information.
Your privacy choices and rights
You may ask us to access, correct, or delete personal information you submitted through the Website, or to stop communications related to an inquiry. Depending on where you live, applicable law may provide additional rights, including the right to know, access, correct, delete, restrict or object to processing, obtain a portable copy, withdraw consent, or appeal a decision about a request.
To submit a request, use the contact form on our Website and state that your message concerns a privacy request. We may need to verify your identity before acting. Authorized agents may submit requests where permitted by law, subject to verification of their authority. We will not unlawfully discriminate against you for exercising a privacy right.
Children’s privacy
The Website is intended for business owners and adults and is not directed to children under 13. We do not knowingly collect personal information from children under 13 through the Website. If you believe a child has provided personal information, contact us so we can take appropriate action.
Location of processing
Our service providers may process information in the United States or other countries where they operate. Privacy laws in those locations may differ from the laws where you live. Where required, we use appropriate safeguards for cross-border transfers.
Changes and contact
We may update this Privacy Policy as our practices, services, or legal obligations change. The “Effective” date at the top identifies the current version. Material changes will be posted on this page and, where appropriate, communicated by an additional notice.
For privacy questions or requests, contact AlphaCore Bookkeeping through the contact or consultation form on our Website. Please label your message “Privacy Request” and do not include sensitive financial or identity information.
